Privacy Policy

This Privacy Policy explains how Kaafi SEMS (“we”, “us”) collects, uses, and protects information when parents and guardians use the Kaafi SEMS mobile application (package id tech.kaafi.guardian).

1. Who the app is for

The app lets guardians view school-related information for their children (attendance, academics, finance summaries, messages, and similar school records) provided by their school through the Kaafi SEMS platform.

2. Information we process

• Account data — login identity, name, phone/email if provided by the school.
• Student-linked school data — records your school already stores and chooses to expose to guardians (e.g. attendance, exams, fees, messages).
• Device data — optional push-notification token so we can deliver alerts; crash diagnostics if Firebase Crashlytics is enabled.
• Usage / technical data — basic app and network errors needed to keep the service reliable.

3. How we use information

• Authenticate you and show the correct school’s data.
• Display guardian dashboards, finance, student cards, and messages.
• Send optional push notifications about school alerts.
• Improve stability and fix crashes.

We do not sell personal information.

4. Who provides and hosts the data

Your school is the primary controller of student and guardian records in its Kaafi SEMS database. The mobile app requests data from your school’s Kaafi SEMS server (for example https://<school>.kaafi.tech). Central services on kaafi.tech may be used for school discovery and platform operations.

5. Sharing

Information is shared only as needed to operate the service: with your school, hosting providers (e.g. DigitalOcean), and optional vendors such as Firebase (push notifications / crash reporting) when those features are configured.

6. Retention

Account and school records are retained according to your school’s policies and applicable law. Device tokens are removed when you log out or the token becomes invalid. You can ask your school to update or remove guardian access.

7. Security

Production traffic uses HTTPS. Access to guardian APIs requires authentication. No method of transmission or storage is perfectly secure; please keep your password confidential and log out on shared devices.

8. Children’s data

The app is intended for parents/guardians. Children’s information appears only because the school has linked those students to your guardian account.

9. Your choices

• Change language and account password in Profile.
• Disable notification permission in the device system settings.
• Contact your school to correct student or guardian details.

11. Changes

We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the app after changes means you accept the updated policy.
